Handover Pilot

A clearer handover. Fewer repeat explanations. More time for guests.

Write once, find the context, pick up the next action. Fewer repeat explanations between reception, housekeeping managers and the technical team.

Built for a hotel team. Client details are kept private.

A good handover should give the next person enough context to act. We built Handover Pilot around that idea: one place for front-office notes, housekeeping briefings and technical follow-up.

The same issue, explained again

The outgoing and incoming colleagues hand over, but the information does not stop there. Other reception staff and housekeeping managers need the same context. Incomplete notes turn one update into several conversations.

Write it once. Keep it useful.

The workflow follows morning, late and night shifts. Staff add a note with Enter, edit it directly and mark it complete when the work is done. Ongoing open items carry forward; relevant notes feed the housekeeping briefing.

The next person can pick it up

The issue, latest update and completion status stay together. Staff can read what has happened before asking a colleague to explain it again, while housekeeping prepares from the relevant notes already recorded.

Easier for the people doing the work.

The aim is to make the next action clear, even when the colleague who wrote the note is no longer on shift.

Front office

Start with the context, not another explanation.

Scan the current handover, search past notes and update an item where it already lives. Ongoing unresolved work stays visible for the next shift.

Housekeeping managers

Prepare the briefing without copying everything again.

Relevant arrivals, departures, room moves and housekeeping notes carry into the daily briefing. Reuse the previous team allocation, adjust it and print when needed.

Technical follow-up

Keep the issue and its latest update together.

Record what needs attention, add the update and mark the item complete when it is resolved. Reception can see the status without starting the story from the beginning.

A walkthrough of the handover and briefing workflow, using sample entries to keep guest and client details private.

01 · Read the shift

See what is open and what the next colleague needs to know.

02 · Prepare housekeeping

Bring the relevant notes into the daily briefing without retyping them.

03 · Update and carry forward

Keep the latest action with the issue until it is complete.

1 / 3

Simple actions. A more complete handover.

Add a note without a long form

Type the update, choose the relevant category and press Enter. Everyday notes should be quick to record.

Change the note where you read it

Edit in place, mark complete or reopen when necessary. The context stays with the item.

Keep unfinished work in view

Ongoing open items carry into the next shift. Staff do not need to rebuild a list of what is still outstanding.

Find an answer before asking again

Search current and previous notes. The handover becomes a useful reference throughout the shift.

What could clearer handovers save your team?

Complete notes help front-office colleagues and housekeeping managers prepare for the next shift without gathering the team or explaining the same issue to each person again. Adjust this hypothetical example to your own workflow.

combined staff time saved per week in this example

11 h 05 min

Approximately 11.1 staff hours per week

Planning estimate from the assumptions shown, not a measured client result.

Scheduled handovers

The outgoing and incoming colleague can find complete notes instead of rebuilding the context together.

Before
15 min
With Handover Pilot
5 min

Minutes per person, per scheduled handover.

Staff time saved per week

7 h 00 min

7 days × 3 handovers × 2 people × 10 min = 420 staff-min/week

Housekeeping briefing preparation

Relevant handover notes are already available for the housekeeping manager preparing the briefing.

Before
20 min
With Handover Pilot
5 min

Minutes per day for one person's preparation; briefing attendance is excluded.

Staff time saved per week

1 h 45 min

7 days × 15 min preparation = 105 staff-min/week

Repeated explanations

Outside the scheduled handovers, fewer interruptions to find a colleague and explain an issue again.

Before
3 min
With Handover Pilot
1 min

Minutes per participant, per separate explanation; include both speaker and listener.

Staff time saved per week

2 h 20 min

7 days × 5 explanations × 2 people × 2 min = 140 staff-min/week

Adjust the assumptions

Use whole numbers. Zero excludes an activity. After-times cannot exceed before-times; participant counts include the person explaining.

Count briefing preparation once, and only explanations outside scheduled handovers. Exclude guest-facing work and any minutes already counted.

Scheduled handovers
Housekeeping briefing preparation
Repeated explanations

This combines staff time across the team, not elapsed shift duration or a reduction in headcount.

Less time explaining. More time moving the work forward.

The value is not just a shorter handover meeting. It is fewer interruptions later: less time finding the right colleague, repeating context and checking whether a note has been dealt with.
